Key terms

TermMeaning
TVNTeacher Verification Number. A unique number created when a record is approved. It stays the same through renewals, and is printed on the card.
Registration windowA scheduled period during which provincial coordinators can register new teachers.
Print windowA scheduled period during which approved cards can be downloaded for printing.
ActivationThe teacher confirms they hold the physical card. Activation starts the validity period.
ValidityHow long an activated card stays valid (2 years by default), counted from the activation date.
Download licenseA credit a region uses the first time a teacher's card is downloaded. Re-downloading the same teacher's card is free.

Record statuses

StatusWhat it means
Pending ReviewSubmitted; nobody has looked at it yet.
Under ReviewA reviewer has picked it up.
Needs CorrectionSent back with a reason. The coordinator fixes it and it goes back into review.
RejectedDeclined, with a reason.
ApprovedTVN issued. The card can be previewed, printed and activated.
SuspendedThe card is not valid. Either the activation window was missed, or a Super Admin suspended it for a policy violation.

Activation labels on approved cards

LabelMeaning
Awaiting PrintApproved, but the coordinator has not yet confirmed it was printed.
N days left to activatePrinted. The teacher must activate before the countdown ends.
ActivatedCard is live and valid.
ExpiredThe validity period has ended. It needs renewal.
Missed ActivationNot activated within 7 days, so it was suspended automatically.

Life of a card

  1. Register. A provincial coordinator submits the teacher's details and passport photo while a registration window is open.
  2. Review. A reviewer works through a checklist and chooses Approve, Needs Correction or Reject.
  3. Approve. The TVN is generated and the teacher is emailed.
  4. Download and print. During a print window, the approved card is downloaded and physically printed.
  5. Confirm print. The coordinator confirms the card was printed. This starts a 7-day activation window and the teacher is emailed.
  6. Activate. The teacher confirms their name, enters an emailed code, then confirms. The validity period begins.
  7. Verify. Anyone scans the QR or types the TVN and sees valid, expired or suspended.
  8. Renew or retire. Expired cards are renewed. Lost or misused cards are suspended, then reinstated or reissued under a new TVN.

For teachers

Activating your card

Only activate once the physical card is in your hand. Activation starts your validity period immediately and you cannot undo it. You have 7 days from the print confirmation, or the card is suspended automatically.
  1. Open Verify a Card. Scan the QR on your card, or open the Verify a Card page and type the TVN printed on it.
  2. Check the status. You should see “Activation Required” with the number of days left.
  3. Confirm your name. Type your full name exactly as it was submitted at registration, then press Send Me a Verification Code.
  4. Check your email. A 6-digit code is sent to the email on your registration. It expires after 10 minutes. Check spam if you do not see it, or use Resend code.
  5. Enter the code. Type the code and press Verify Code.
  6. Finish. Press Activate My Card. You will get a confirmation email, and the card shows as valid.

After activation

  • You receive an email whenever your valid card is checked on the Verify page, so you know it is being used.
  • Note your “Valid until” date and ask your coordinator about renewal before it arrives.
  • If the card is lost or stolen, see Lost or stolen cards.
Too many wrong names or codes temporarily locks activation for that card. Contact your regional coordinator if that happens. If no email address is on file, your coordinator must add one before you can activate.

Verifying a card

Open to anyone, with no login. Use it at gates, entrances, or whenever you need to confirm a teacher.

  1. Scan or type. Scan the QR code on the card, or open Verify a Card and type the TVN.
  2. Read the verdict. The result appears in a coloured seal at the top.
  3. Compare. For a valid card, the photo, name and designation shown must match the physical card and the person presenting it.

What each result means

ACTIVATION REQUIRED / AWAITING PRINTThe card is not live yet. Do not treat it as valid ID.
If a QR shows that the card “has been renewed since this QR was printed”, everything shown is still current, but the physical card should be reprinted.

Lost or stolen cards

Anyone can report a card, without signing in.

  1. Open the card's verification page. Type the TVN on Verify a Card.
  2. Open the report form. Expand Report this card lost or stolen at the bottom.
  3. Fill it in. Choose Lost or Stolen, add your phone or email (required), and optional details.
  4. Submit. A Super Admin reviews the report. Submitting does not suspend the card immediately.
  5. Follow-up. If genuine, the card is suspended so it can never be used. A replacement is issued under a brand-new TVN, which the teacher prints and activates again.

Only one report per card can be pending at a time. Reports for cards already suspended are not needed.

Provincial coordinators

Getting access

  1. Nigeria. Use the Nigeria Province Ledger with the email and password you were given.
  2. Outside Nigeria. Register on the International Ledger first. Your account stays pending until a coordinator over your region approves it; you can sign in once approved. There is no need to register twice.
  3. Sign in. Enter email and password. Tick “Remember me” to stay signed in for 30 days on your own device.
  4. Two-step code. If two-factor authentication is on, enter the 6-digit code from your authenticator app.
After five wrong passwords, your account locks for 10 minutes. A suspended account must be reactivated by your continental coordinator.

Reading your dashboard

  • Window banners show whether registration and printing are open, with a live countdown to closing.
  • Registration Status counts your teachers by status.
  • Card Lifecycle shows activated, printed-awaiting-activation, suspended and expired cards.
  • Activation Deadlines Approaching lists printed cards close to their 7-day limit. Contact those teachers directly.
  • Cards Expiring Soon lists cards ending within 30 days, with a CSV export.
  • Recent Activity shows the latest review decisions on your teachers.

Registering a teacher

  1. Check the window. Registration only works while a window is open (see the banner on your dashboard).
  2. Open Register Teacher. Use the sidebar link.
  3. Enter details. Full name, gender, designation and a clear, portrait passport-style photo (JPG, PNG or WEBP, under 5 MB).
  4. Submit. The record goes to Pending Review. Duplicate phone, email, ID or name-and-birth-date matches are flagged.

Registering a large batch with a delegated link

  1. Generate a link. On your dashboard, under Delegated Registration Links, add an optional label and an expiry, then press Generate Link. Links can only be created while registration is open.
  2. Share it. Copy the link and send it to whoever will register on your behalf. They never need your login.
  3. Track it. Each link shows a live countdown and how many times it has been used. All teachers registered through it belong to your province.
  4. Edit or revoke. Use Edit to change the label or expiry. Use Revoke to stop the link instantly. A revoked link cannot be restored; create a new one.

Following up on your teachers

  1. Find them. Under My Teachers, filter by status or search a name or TVN.
  2. See why. For Rejected, Needs Correction or Suspended records, press Why? to read the reviewer's reason.
  3. Fix a correction. Press Edit to update the name, gender, designation or photo. The record returns to review.
  4. Preview the card. For approved records, press Preview to see the front and back.
  5. Export. Use Export CSV for your list, or the expiring-soon export.

Location details (continent, zone, region, province, country) cannot be edited here. They come from your coordinator account.

Reviewers Regional · Zonal · Continental

You see and act only on records inside your own scope: continent, zone or region. Sign in through the Command Hub.

Reviewing a record

  1. Open the queue. The Dashboard lists records. Filter by status, continent, zone, region or date, or search a name or TVN.
  2. Pick the order. Sort by Oldest first, Newest first, or Risk score (age, missing photo, past rejections) to clear the most urgent first.
  3. Press Review. Check the photo and details. The checklist adapts to the teacher's gender.
  4. Mark each item. Set every checklist item to Pass or Fail.
  5. Decide. Approve & Generate TVN (only possible when all items pass), Needs Correction, or Reject. The last two require a written reason.
An approved record cannot be approved again, which protects an issued TVN. If an approval was a mistake, only a Super Admin can revoke it.

Working faster with bulk actions

  1. Tick rows. Use the checkboxes, or “select all” for the page.
  2. Choose an action. Approve, Needs Correction or Reject selected records. This skips the checklist, so use it only for records you have already checked.
  3. Check the summary. A message shows how many were updated, skipped or failed.

Other everyday tools

  • Jump menu: press Ctrl+K (⌘K on Mac) to find a teacher or open any tool.
  • Edit details: correct name, gender, designation, region or photo within your scope.
  • Take a Tour: replays the guided introduction from the sidebar.
  • Manage Users: create and manage the coordinators directly below you.

Printing, activation and renewal Regional · Zonal · Continental

Downloading and printing cards

  1. Check the print window. The banner shows whether printing is open. Downloads are disabled outside a window.
  2. Download one card. Press Download on an approved row to get the front and back images. Cards already expired cannot be downloaded until renewed.
  3. Download many. Use Bulk ZIP Export and narrow by continent, zone, region or province if needed.
  4. Watch your licenses. The licenses banner shows used and remaining credits. The first download of each teacher uses one.
  5. Buy more licenses. Open Download Licenses, then top up. Licenses activate as soon as payment is confirmed.

Confirming print

  1. Print the cards. Print the downloaded images on card stock.
  2. Confirm. Press Confirm Printed on each row, or tick several and use Confirm Print Selected.
  3. The clock starts. The teacher is emailed and has 7 days to activate.
  4. If they miss it. The card is suspended automatically. Press Re-open Activation to give a fresh 7 days.

Renewing expired cards

  1. Find them. Expired cards show a red badge and a Renew button.
  2. Renew. Renew one, or tick several and press Renew Selected.
  3. Result. The TVN stays the same and a fresh validity period starts today. If details also need fixing, use Edit first.

When the print window has closed

  1. Select the records. Tick the approved cards you still need.
  2. Request access. Press Request Download Access and give a reason.
  3. Wait for approval. A Super Admin grants a set number of hours for each record. The Download button then works until that time ends.

Super Admin

Super Admin can see everything and is the only role that can invalidate a card.

Enforcement actions

Handling lost and stolen reports

  1. Open Stolen/Lost Reports. Pending reports appear with reporter contact details.
  2. Decide. Suspend to stop the card and close the report in one step, or Dismiss a false alarm.
  3. Replace. Once a replacement is ready, use Reissue on the suspended record.

Managing download access

  1. Open Download Requests. See who asked, for which teachers, and why.
  2. Approve or deny. Approve with a number of hours (72 by default), or deny with a reason.

Windows

  1. Open Print Windows or Registration Windows. Use the sidebar.
  2. Create. Enter a title, open time and close time. The close time must be after the open time.
  3. Edit or close. Change dates at any time, or close a window early.

Oversight and housekeeping

  • Audit Log shows every action. Search in plain words, such as “suspensions in Continent 3 last month”, or filter by action, role and date.
  • Login Audit shows who signed in, from which address and device.
  • Archive resets a log view without deleting anything. Archived rows remain in exports.
  • Maintenance Fees and Offline Payments track continent fees and bank-transfer licence payments awaiting approval.
  • Test records can be previewed and permanently purged after 7, 30, 90 or 180 days. You must type DELETE to confirm, and real records are never affected.
  • Card Template is where the front and back artwork and field positions are designed.

Security & two-factor authentication

Setting up 2FA

  1. Open Security (2FA). From the sidebar. If your account is required to have it, you will be sent here after signing in and other menus stay locked until you finish.
  2. Scan the QR. Use an authenticator app on your phone. You can type the key manually instead.
  3. Confirm. Enter the current 6-digit code.
  4. Save your backup codes. Eight single-use codes are shown once. Store them safely; each works only one time.

To regenerate backup codes or turn 2FA off, you must enter a live code. If you turn it off, you will be asked to set it up again at your next sign-in.

Good practice

  • Never share your password or a delegated link publicly.
  • Use “Remember me” only on your own device, and always sign out on shared ones.
  • Every action is recorded against your account, and nobody can act outside their own scope.

Troubleshooting

I cannot register a teacher.
Registration only works while a registration window is open. Check the banner on your dashboard, or ask your coordinator when the next one opens.
The Download button is greyed out.
Either there is no print window open, the card is expired, or your region has no licenses left. Request download access, renew the card, or buy licenses as appropriate.
Approve says a checklist item failed.
Approval needs every item to pass. Use Needs Correction and explain what to fix.
It says the record is already approved.
This is expected if the record was approved a moment ago. It protects the issued TVN from being changed.
I changed a teacher's details but the card looks old.
Refresh the preview. Editing details, confirming print, approving and renewing all force a fresh card image.
A teacher's card was suspended without any action from me.
Its 7-day activation window ended. Use Re-open Activation to start a fresh 7 days.
The teacher never received the activation code.
Ask them to check spam and use Resend code. If no email is on file, have your coordinator add one first.
My International Ledger sign-in says pending.
A coordinator over your region has not approved you yet. Wait for approval; do not register again.
My account is locked.
Five wrong passwords lock an account for 10 minutes. Wait, or ask a coordinator above you to reset your password.
A countdown on the home page looks wrong.
It follows the server's time zone. Report it to the ICT Unit if it stays incorrect after a refresh.
